Join the Fort Langley Jazz & Arts Festival team as an Administrative Coordinator! This is an exciting 12-week, 35-hour-per-week summer position that will immerse you in the heart of our 2026 festival, taking place from July 23–26, 2026.

About the role

The Administrative Coordinator plays a vital part in ensuring efficiency, professionalism, and collaboration across the festival. The role requires a high level of organization, communication, and multitasking. Key responsibilities include administrative support, data and record management, event and project coordination, financial administration and communications.

Working with a dynamic team of festival staff and volunteers, this role requires strong organizational skills, and a proactive, service-oriented approach.

Our festival is a multi-day, multi-venue event that brings the Village of Fort Langley to life. Together, we create a welcoming space for artists to shine, volunteers to collaborate, and audiences of all ages and backgrounds to enjoy exceptional performances, inspiring art, and an unforgettable festival atmosphere.

Compensation

  • $20/hour

  • 12-week position (May 11–July 31)

Work Environment

  • Hybrid: Remote pre-festival work with some in-person meetings.

  • In-person attendance required for specific tasks the week of the festival and during the festival weekend.

Key Responsibilities

  • Provide administrative support to the leadership team. 

  • Act as a point of contact for vendors, contractors, sponsors and external partners.

  • Track sponsorship benefits.

  • Input, update, and retrieve data using organizational systems or databases.

  • Support planning and execution of meetings, events, and projects.

  • Coordinate logistics such as travel arrangements, artist hospitality, food and beverage for crew and volunteers.

  • Create and coordinate signage requirements.

  • Distribute internal and external communications, ensuring timely and accurate delivery.

  • Address and resolve inquiries or direct them to the appropriate person.

  • Provide support on ad hoc tasks and projects as needed.

Your Qualifications 

  • Strong organizational and time management skills.

  • Excellent verbal and written communication abilities.

  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, MailChimp).

  • Ability to prioritize and manage multiple tasks in a fast-paced environment.

  • Attention to detail and a proactive approach to problem-solving.

  • Professional demeanor and ability to maintain confidentiality.

Job Requirements

This position is anticipated to be funded through the Canada Summer Jobs Program. Applicant requirements:

  • Availability: In-person attendance for select pre-festival activities and mandatory availability the week of the festival and during the festival weekend.

  • Equipment: Personal computer, software, and cell phone required.

  • Eligibility:

    • Between 15-30 years of age.

    • Canadian citizen, permanent resident, or refugee.

    • Valid SIN and eligible to work in Canada.
